Spanish-Speaking Administrative Coordinator – Adult Day Care

We are currently seeking a Spanish-Speaking Administrative Coordinator to play a critical role in the daily operations of our Adult Day Care center. This position goes beyond traditional front desk duties and serves as the central hub for communication, referrals, authorizations, scheduling coordination, and member intake.
Position Summary
The Administrative Coordinator is often the first point of contact for members, families, MLTC plans, case workers, and community partners. This role requires a professional, compassionate, and highly organized individual who can manage multiple administrative functions while supporting smooth center operations and enrollment growth.

Key Responsibilities
Front Desk & Communication
- Answer and route all incoming phone calls in a professional and courteous manner
- Take accurate messages for the Director and Scheduling Department
- Serve as the primary front desk representative and “face” of the SADC
- Greet and assist members, families, visitors, and community partners in person
MLTC & Authorization Support
- Handle calls from MLTC plans regarding new, continued, and retro authorizations.
- Proactively contact MLTC plans to request and follow up on authorizations
- Track authorization requests to ensure timely resolution
Referral Intake & Management
- Receive and manage referral calls from MLTC planS, Case workers, Community-Based Organizations (CBOs), Family members, and prospective participants
- Accurately complete pre-referral forms when information is received by phone
- Assist walk-in referrals, including case workers, families, and prospective participants
- Complete full SADC referral forms for walk-ins and coordinate tours with the Scheduling Specialist
Referral Tracking & Follow-Up
- Maintain and manage referral pipelines
- Utilize HHA Exchange to:
- Utilize HHA Exchange to enter and update referral notes, document outreach and follow-ups, and track progress toward authorization and enrollment.
- Conduct regular follow-up calls to ensure all steps toward enrollment are completed
Visit Entry & Attendance
- Enter member visits into HHA Exchange for billable services
- Digitally sign in all members, returning guests, and new guests daily
- Ensure 100% accurate sign-in compliance
- Distribute color-coded access wristbands based on lunch selections scheduled in advance
Administrative & Office Support
- Draft correspondence and formal documents
- Schedule appointments and coordinate administrative workflows
- Maintain organized filing systems
- Support reception staff and promote a collaborative, inclusive work environment
Qualifications & Requirements
- Bilingual (English/Spanish) – Required
- High School Diploma or equivalent
- Experience in a medical, social services, adult day care, or healthcare administrative setting preferred
- Familiarity with MLTC plans, referrals, and authorizations strongly preferred
- Experience with HHA Exchange or similar healthcare systems is a plus
- Strong organizational, documentation, and multitasking skills
- Excellent verbal and written communication skills
- Professional, compassionate, and customer-service-oriented demeanor
- Ability to handle confidential information with discretion
- Comfortable working in a fast-paced, people-focused environment
